Terms
Introduction
“Polaris Golf World Rentals” promotes high quality holiday accommodation in a range of popular resort areas, along with a range of services to ensure that people renting through us have a comfortable and pleasant stay. Some of the properties which we manage are owned by the company. In other cases we act as agents for the owners. In either case we aim that you should have the same quality of experience. The purpose of this document is to explain what we do (and don’t) do, and what we expect from you as customers in return. When you make a payment to us you are making a contract to holiday at your selected resort on these terms, whether a copy of this document is signed or not.
Definitions
The following terms have defined meanings within the whole of this document:

Fee |
Means the total sum of money to be paid to us by you for the rental of the property and the provision of all supplementary goods and services which you have requested at the time of booking or subsequently thereafter in writing. A 3.75% non-refundable charge is added to all credit card payments |
Booking Conditions and Rental Agreement
The details below and the definitions on page 1 constitute an agreement between you and us for the booking and rental of the property for the duration specified. The agreement is made by you and us subject to United Kingdom law. No variations to this agreement are valid unless confirmed in writing by us. Any written variations (including details communicated from us by post or by email) are deemed a part of this agreement and supersede the details given on the face of this agreement.
Bookings
1. An important factor to note is that we take bookings for nothing less than a 7-day period; this would mean that if we take a booking for say 5 nights, the individual(s) would have to pay for 7 nights.
2. We endeavour to ensure that all details provided in our literature and on our property web site(s) are accurate. Our liability in all circumstances is limited to the refund of the deposit and booking fees paid.
3. Bookings are not confirmed until we receive cleared payment of the deposit from you and both signed copies of this agreement. On receipt of both copies of your signed agreement we will return one copy countersigned by us for your records.
4. A deposit of 30% of the full fee (including all extras requested) is payable at the time a provisional booking is made. The following cancellation policy applies to the deposit and fees paid:

No credit card transaction charges will be refunded under any circumstances
5. The full balance of fees specified on page 1 of this agreement must be paid no less than eight weeks prior to the commencement date of the rental. If payment is not received by the due date we reserve the right to give notice in writing that the booking is cancelled. Bookings made less than eight weeks prior to commencement of the rental must be paid in full at the time of booking. Payment reminders are at our discretion. You have full responsibility for ensuring that all fees are paid before the commencement of the rental.
6. We make all reasonable endeavours to ensure that the property you have booked will be available for you to occupy for the duration specified on page 1. In the event that the property you have booked becomes unavailable for any reason then we undertake to attempt to provide you with a similar property at the same resort. In the event that we are unable to provide a replacement property then we will refund all monies paid in full. If we offer a replacement property and you are unwilling to accept this then we reserve the right to apply the cancellation policy described above.
7. Rentals normally commence at 16:00 hrs local time on the first day of the agreement and the property must normally be vacated by 10:00 hrs on the last day. If any variation is agreed between you and us then the details of this will be shown on page 1 of this agreement. You are responsible for checking that these details are correct and for notifying us if you wish us to consider varying them for you. We will not be obliged to provide accommodation before the start time and you will not be entitled to remain in occupation after the end time specified in this agreement.
8. The number of people occupying the property must not exceed the size of the party as defined on page 1 of this agreement. You are responsible for checking that the details shown are correct for your requirements and for notifying us if you wish to discuss varying the number shown. Note that a supplement applies to the booking for bookings involving more than two persons. The supplement is to cover additional bedding, towels and cleaning involved.
9. You and members of your party are strongly advised to arrange comprehensive travel insurance (including sickness and cancellation cover) for the duration of your travel and stay. You and your party are also strongly advised to ensure that you have adequate insurance for any belongings you bring with you and to cover any public liability or legal fees you may incur as a result of your conduct en route and for the duration of your holiday. Our insurance does not cover any of these things. You are also advised to read the terms of your insurance and make sure you avail yourself of any safety deposit facilities provided in your resort where these are available. Failure to take such reasonable care may invalidate or reduce the cover provided by your policy.
During Your Stay
10. You agree to be a considerate tenant, to take good care of the property and its contents, and to leave it in a clean and tidy condition at the end of the rental period. In the case of credit card payments we reserve the right to make a charge direct to your card in respect of any damage you do to the property or its’ contents. If you pay by any other means then we require a separate breakage deposit in advance of £200.00 (Spain). Your deposit will be refunded following your stay provided that the premises are left in a reasonable state and nothing is damaged, broken or missing.
11. You agree to report to us without delay any defects to the property or breakdown of equipment / appliances within the property or building in which it is located. We will arrange repair or replacement as soon as possible
12. We will not be liable to you:
a. For any temporary defect or stoppage in the supply of Public Services to the property.
b. For any loss, damage or injury resulting from adverse weather conditions, riot, war, strike or other matters beyond our control.
13. On arrival you agree to cooperate in checking the inventory of the property. Before your arrival our staff will have made their own checks. Our staff will also provide the quantities of bedding applicable to the size of your party, plus any options (such as towels). You are responsible for ensuring that details of any items missing or damaged are reported immediately to our representative on the number provided. Any discrepancy otherwise between the starting inventory and the items checked after your departure will be billed to you at replacement cost. This is the only Polaris resort that you have to pay the management agent a fee for the cleaning/meet and greet in Euros (cash) when you arrive - you will be advised of the amount before you book. Under this agreement you consent to us billing any such supplementary charges to your credit card following your stay.
14. On arrival you will also find an information pack at the property. The pack includes:
a. A blank copy of this agreement as a reminder of the terms,
b. Details of the location of water, electricity and gas supply controls. In the event of any leakage or emergency you are responsible for taking prompt action to limit any damage by stopping the supply or isolating faulty appliances
c. A check list for your departure. In particular if you are holidaying in Dubai you must remember to return the keys/beach passes as directed to the 24 hour security reception. Holidaying in Tenerife requires keys to be returned to the pigeon hole in the 24hour reception. Holidaying in Polaris - return the key into the key safe situated outside the apartment. We reserve the right to levy a charge for replacement of any keys or other items you fail to return
d. Details of local emergency services and amenities
e. A “callout” number where we can be contacted at any time, night or day.
15. There is no callout charge for genuine emergencies beyond your control, such as leaks, break-ins or any problem that requires urgent repair to maintain habitability and safety for you, members of your party and the property. If the callout involves the loss of keys or anything arising from the behaviour or negligence of you or a member of your party then a charge equivalent to £50.00 will be made to the credit card which you used to make your booking for each occasion. Under this agreement you consent to us billing any such supplementary charges to your credit card following your stay
